I normally receive information directly from you when you:

  • Complete a website enquiry form.

  • Contact me by telephone, email, text message or WhatsApp.

  • Request a quotation or arrange work.

  • Provide photographs, access instructions or feedback.

I may also receive relevant information from someone arranging work on your behalf, such as a landlord, letting agent, managing agent or authorised representative.

Where appropriate, I will explain how I received your information when I first contact you.

4. How and why I use your information

I use personal information to:

  • Protect the website and business against misuse or fraud.

If information needed to assess or carry out a job is not provided, I may be unable to offer a quotation or complete the service.

5. The legal bases I rely on

Depending on the purpose, I rely on the following legal bases:

Contract: To take steps at your request before entering into an agreement, such as preparing a quotation, and to carry out agreed services.

Legitimate interests: To manage enquiries, communicate with people involved in a job, maintain appropriate service records, protect my business and resolve complaints. I consider whether these interests are balanced against your rights and expectations.

Legal obligation: To keep records and provide information where required by tax, accounting or other applicable laws.

Consent: Where I ask for permission for a particular activity, such as publishing identifiable project photographs or using cookies that require consent. You can withdraw consent at any time without affecting the lawfulness of earlier use.

6. Photographs of your property

Photographs you send me may be used to assess the work, prepare a quotation or keep a relevant record of the job.

If I would like to use photographs of your property for my website, portfolio or social media, I will ask for your permission first. I will avoid including people, exact addresses or other identifying details unless specifically agreed.

Please contact me if you wish to withdraw permission for identifiable photographs to be used in future.

7. Who I share information with

I do not sell your personal information.

Where necessary, information may be shared with providers or advisers supporting the business, including:

  • Squarespace, which hosts this website and supports its enquiry forms.

  • Email, messaging and storage providers used to receive and manage enquiries.

  • WhatsApp when you choose to communicate through that service.

  • Accounting or payment providers used to manage invoices and payments.

  • Professional advisers, insurers or authorities where required to meet obligations or deal with a claim.

I limit sharing to information relevant to the purpose.

8. WhatsApp and external websites

The website includes links allowing you to contact me through WhatsApp. If you use these links, WhatsApp will process information under its own privacy policy. I use information received through WhatsApp to respond to you and manage your enquiry or work.

You can contact me by telephone or email if you prefer.

Other external websites linked from this website have their own privacy policies.

9. Information processed outside the UK

I manage customer enquiries and records from the United Kingdom. However, providers I use for website hosting, email and messaging, including Squarespace and WhatsApp, may store or process information outside the UK.

Where this happens, applicable UK data protection requirements must be met. You can contact me at contact@homefix-ps.com for further information about the providers used and their international processing arrangements.

10. How long I keep information

I keep personal information only for as long as needed for the purpose for which it was collected, taking account of legal requirements, accounting obligations and possible complaints or claims.

My retention periods are:

  • Enquiries that do not lead to work: 3 months after the last meaningful contact.

  • Customer correspondence and job records: 3 months after completion of the work.

  • Invoices and tax records: For the period required by applicable tax and accounting rules.

  • Access codes or temporary entry instructions: Deleted when no longer needed for the agreed work or any agreed ongoing visits.

  • Project photographs: Kept while needed for the job record or the agreed portfolio purpose, subject to periodic review.

Records may be kept longer where needed to deal with an ongoing complaint, dispute or legal obligation. Information no longer required is deleted or anonymised.

11. Keeping information secure

I take reasonable steps to protect personal information against unauthorised access, loss or misuse. These include appropriate access controls and care when storing or sharing customer records.

No online service or communication method can be guaranteed completely secure. Please contact me if you believe information you have provided has been compromised.

12. Cookies and website information

Cookies are small files stored on your device. This website is hosted by Squarespace and may use cookies or similar technologies for essential functions, security and, depending on its settings, website analytics.

Cookies and analytics currently enabled:

Where consent is required, optional cookies will only be used after you agree. You can change your choice using [insert your cookie-preferences link or explain the actual method available].

You can also manage cookies through your browser settings, although disabling essential cookies may affect website functions.

13. Marketing

An enquiry does not automatically sign you up to promotional messages.

If I introduce marketing communications, I will explain how your information will be used and obtain consent where required. You will be able to opt out of direct marketing at any time.

14. Your rights

Depending on the circumstances, you may have the right to:

  • Request a copy of your personal information.

  • Ask for inaccurate or incomplete information to be corrected.

  • Ask for your information to be deleted.

  • Request restrictions on how it is used.

  • Object to processing based on legitimate interests.

  • Receive certain information in a portable format.

  • Withdraw consent where processing relies on consent.

These rights are subject to applicable conditions and exceptions. For example, some records may need to be retained to meet legal obligations.

To make a request, email contact@homefix-ps.com. I may need to confirm your identity before disclosing information. I will respond within the applicable legal timeframe, normally one month, and explain any permitted extension or exception.

I do not use your information to make decisions about you based solely on automated processing that have legal or similarly significant effects.

15. Questions and complaints

If you have a concern about how I handle your information, please contact me at contact@homefix-ps.com so I can investigate and respond.

You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator.
